What to send with a business hardware quote request

The part numbers, quantities and project details that make an equipment quote useful the first time.

01

Start with the equipment or the job.

If you know the equipment, send the manufacturer and complete manufacturer part number. Keep every suffix. A distributor SKU can help identify a listing, but it is not a substitute for the manufacturer’s part number.

If you are still choosing hardware, describe the work instead. A desk setup for office applications and a workstation for a specific design application need different conversations. Name the applications, existing equipment and constraints you already know.

02

Make quantities and locations explicit.

List quantities per part and separate destinations. A request for ten workstations at one office differs from ten individual shipments. Include the delivery ZIP and any receiving requirements so freight can be reviewed with the hardware.

  • Manufacturer, full part number and quantity per line
  • Delivery ZIP for each location
  • Business address, dock, liftgate or inside-delivery requirements if applicable
  • Requested date and whether a partial shipment is acceptable
03

Include the pieces the equipment depends on.

Document compatibility requirements before sourcing starts. For a network refresh, that may be existing switch and access-point models. For a desk setup, include the computer, dock and display connections. For a label-printing station, name the software, label size and connection requirements.

Say whether the quote should include mounts, cables, power supplies, accessories, licensing or setup. Flag requirements you have not yet confirmed. An open question is more useful than an assumed answer.

04

Tell us which tradeoffs you can accept.

State whether the exact part is mandatory or alternatives can be considered. If condition, warranty or return terms matter to your purchasing policy, include them. Share a target equipment budget when you have one, and distinguish it from an all-in project budget.

Add any approval deadline or purchasing requirement. A requested delivery date helps scope the request; it is not a confirmed delivery commitment.

05

Use the list you already have.

A CSV, spreadsheet or PDF is a good starting point. The quote form accepts up to five files, with a 10 MB limit per file. Include the current revision and identify any lines that are optional.

Keep passwords, payment details and sensitive personal documents out of attachments. Submit the request with a business contact who can answer follow-up questions. A quote request does not place an order.
